8/30/2016 Room Parent Training/General Meeting

8:00am - Room Parent Training

  • Website:
    • Go to the PTO Website www.johnbakerpto.org and join Mail Chimp. You can also join the website, but it is entirely optional since newsletters are now received through Mail Chimp. If you received email reminders about the PTO Meeting, you are already signed up.
    • Make sure to click the Amazon link on the upper left side of the main page whenever you shop on Amazon.

 

  • Konstella
    • Konstella is an app we are trying out this year. It promotes community within the school. We would like as many parents as possible to sign up with Konstella.
    • Through Konstella, we can:
      • See Calendar of events throughout the year
      • Text message with different parent groups (you can be a part of your classroom group, the PTO group, Room Parent group, etc.)
      • Sign up to help with events 
      • Receive classroom reminders to make brownies or help out with your room basket.
    • We would like all room parents to sign up either via their computer or through the app.
  • Room Parent Responsibilities:
    • We are not sure as of now what all the teachers will ask of room parents. However, the PTO would like the following assistance from room parents:
      • Get the word out about events and fundraisers to the parents of your classroom. This may involve reaching out via email or via flyers in backpacks.
      • Increase participation in our existing fundraisers. We would love to get a lot more parents involve on Amazon and Shoparoo. There will be some contests starting in October that will hopefully boost participation.
      • Attend General Meetings
      • Help with events:
      • For Science Fair: Help move projects
      • Jog-A-Thon: Help mark shirts at the event
      • Springfest: To be determined
      • Be a bobcat paws issuer.
    • We do not want a huge time commitment from Room Parents necessarily. We would really like to bridge the gap between the PTO and the teachers. Our Room Parents will be the person to do so.
    • Poll: We polled everyone and found morning meetings as soon as the bell rings are best for most in attendance today.
    • There is a PTO Box in the teacher's lounge for anyone who needs to communicate or give something to the PTO board.

 

8:20am - General Meeting

  • Sponsorship page:
    • We are now offering sponsorship packages that range from $100-$500 to sponsor various events at John Baker. Ask the PTO for details if you know an interested business.

 

  • Budget:
    • The main differences between last year and this year is that our classroom expenses have been reduced. This was intended to be a big gift last year and not necessarily something we do every year.
    • Amazon and Shoparoo have replaced Target and Albertsons. Those two programs have gone away and the income Amazon and Shoparoo have brought in have both helped replenish the money that would have been lost.
    • Vote: Passed. ~10 for, 0 against.

 

  • By-Laws:
    • The main change in the By-Laws is the way expenditures are handled. If it is less than $200 the board can approve it without taking it to a whole PTO vote.
    • The events that board positions had to coordinate has changed to be more open.
    • Meeting minutes used to have to be printed and kept. Now they are handled online.
    • Requests for funds can be handled online through the website.
    • There is a $500 limit for counting money now. Anything over $500, must have two board officers present.
    • The PTO board can vote to approve expenses that are up to 20% more than was previously approved.
    • Vote: By-Laws passed 11-0.

 

  • Jog-A-Thon:
    • The event will take place 10/19/2016.
    • Students collect donations and sponsors to pledge an amount for each lap they run. Parents mark off on T-shirts that are given out exactly how many laps they run.
    • Jog-A-Thon brings in about $6,000 so it is a very important event for us.
    • Sponsors:
      • We rely on sponsors to help fundraise with this event. Sponsorships are $100 and they will get their name on the back of the t-shirt. There are various businesses we are speaking to. 
        • Sabrina confirmed Morris and Comanche Auto
        • Cannady Architect Studios was confirmed
        • Erin will check with Fish Factory
        • Many other businesses are being approached and we have a deadline of October 6, 2016 for sponsorship placement.

 

  • PTO Board Positions:
    • Secretary: Tiffany is taking on the secretary role.
    • Treasurer: We are looking for a Treasurer starting in the 2017-2018 school year.
    • Book Fair: We need a book fair admin ASAP. Beth will continue to run the book fair this fall, but if we don't have someone step up to run the book fair in the Spring, we will not be able to have one. The main duties are making sure there are enough books, displaying books and helping to organize volunteers to work the book fair. Please sign up if interested!

 

  • Upcoming events/fundraising efforts:
    • Peter Piper Pizza night: September 14, 2016
      • This is a great event where the kids have a really fun time. There are fun contests and games. The kids are all given 10 tokens to play. 
      • The class that has the most kids show up gets a pizza party.
      • Even with very low attendance, we make around $200
    • Box Tops:
      • Box tops are a great fundraiser for us as well.
      • Tops can be turned in at any time.
      • The three deadline dates for box tops are for contest purposes.
    • Roller Skate City:
      • We do not know what is going on with Roller Skate City. We have been reaching out, but they have been closed due to water damage. We are unsure if they will be opening up again.

 

  • Grade Level Money Requests:
    • Kindergarten:
      • Kindergarten has requested $600 total for ESGI Software. This software will allow teachers to input assessments into their system. It will save 85% of their time.
      • Vote: Passed. 10-0.
    • 5th Grade:
      • 5th grade has requested 32 Common Core Math Trifolds. They are $100 each and will total $400. 
      • Vote: Passed 9-0

 

  • Charity request:
    • A Kindergartener named Tobias has been diagnosed with cancer. His family is heading to Denver to help with treatments. We are being asked to send in money to our classrooms to help give him an unofficial gift.

 

  • Hospitality Update:
    • The dates have not been set, but there will be a teacher appreciation hospitality event in October. The grades handling it will be 4th and 5th. The date will be announced soon.
